Syyskokous (Autumn Meeting)

Tervetuloa Oulun korkeakoulujen taidepiiri Tapiiri ry:n sääntömääräiseen syyskokoukseen tiistaina 12.12.2022 klo 17.30.

Kokous pidetään Kylymä ravintolan päässä olevassa TS 3110, Oulun yliopiston Linnanmaan kampuksella. Tapaamispaikka Kylymässä.Syyskokouksessa valitaan hallitus vuodelle 2024 sekä vahvistetaan toimintasuunnitelma ja talousarvio. Paikalle saapumalla vaikutat! Kokoukseen ovat tervetulleita kaikki Tapiiri ry:n jäsenet. Tarjolla on glögiä ja pientä purtavaa. Paikalle saapuneiden ei ole pakko asettua ehdolle hallitukseen, mutta jos järjestötoiminta kiinnostaa on nyt hyvä tilaisuus osallistua!

Esittelyt hallituspesteistä on lähetetty erillisenä liitteenä jäsenille, mutta uusien hallituslaisten ei tarvitse valita pestejään ennen ensivuonna pidettävää järjestäytymiskokousta. Mikäli et pääse osallistumaan kokoukseen paikan päällä, voit asettua ehdolle Tapiirin hallitukseen myös ilmoittamalla siitä osoitteeseen tapiirioulu@gmail.com. Liitä viestiin mukaan koko nimesi, lyhyt esittely itsestäsi & kerro mistä pestistä olet ensisijaisesti kiinnostunut ja oletko käytettävissä toissijaisesti johonkin toiseen pestiin. Liitteenä myös kokouksen asialista.Mikäli sinulla on mitään kysyttävää syyskokoukseen tai hallitushakuun liittyen, ole yhteydessä sähköpostitse tai viestitse (04041010599, Marketta)!

Welcome to Tapiiri’s annual fall meeting on Tuesday, December 12th at 17:30. The meeting will be held at TS 1330 (University of Oulu, Linnanmaa).

A board member will be waiting at restaurant Kylymä to help you find the way to the meeting room. At the fall annual fall meeting, the board of Tapiiri for next year 2024 will be elected and the action plan and budget will be confirmed. By participating in the meeting you can have an impact on what Tapiiri does going forward! All members of Tapiiri ry are welcome to the meeting. Glögi and snacks are available. Those who have arrived are not obliged to run for the board, but if you are interested in organizational activities, now is a good opportunity to participate!

Presentations of board members have been sent as a separate attachment to members, but new board members do not have to choose their responsibilities before next year’s organisational meeting.If you are unable to participate in the meeting on site, you can also run for the Tapiiri board by notifying tapiirioulu@gmail.com. Include in the message your full name, a short introduction about yourself & tell us which job you are primarily interested in and if you are available secondarily for another responsibilities.Also attached is the agenda of the meeting.If you have any questions regarding the autumn meeting or the board application, please contact us by email or Telegram!

Board positions

Tapiiri’s board consists of the chairman, vice-chairman, secretary, treasurer and 2-4 other full members and 0-8 deputy members.

Chairman

  • convenes the board
  • lead the speech at the board meeting
  • is authorised to sign together with one of the other members of the board
  • manages and supervises the board’s activities
  • leads and supervises the implementation of the decisions made
  • takes care of the division of labor and its implementation
  • leads the all-round development of the association’s activities

Vice chairman

  • acts as the chairman’s deputy when the chairman is prevented from performing his duties
  • may assist the chairman in various tasks at the chairman’s request
  • takes over the position of chairman, if the actual chairman leaves his position in the middle of the term

Secretary

  • participates in the preparation of the meeting by drawing up meeting invitations together with the chairman and manages other meeting arrangements
  • takes care of the meeting’s participant list
  • assists the chairman in the meeting, records requests to speak, proposals made and endorsements, etc.
  • prepares the action plan and action reports and writes them in their final form after approval
  • prepares minutes and copies
  • manages Tapiiri statistics
  • handles announcements, requests and documents and delivers them to the parties concerned, unless otherwise agreed

Treasurer

  • takes care of the association’s financial transactions
  • keeps the association’s accounting up to date
  • keeps the appropriate documents in order in a folder
  • keeps the board informed about the association’s financial situation

Other positions:

Positions can be combined and modified, and new ones can be made as needed and as desired!

Communications manager

  • Plans communication and supervises the implementation of the plan
  • Writes the tapir’s monthly newsletter
  • Takes care of Tapiiri’ s bulletin board
  • Social media manager
  • Responsible for Tapiiri ry’s social media (Telegram, Instagram, Discord, Facebook)
  • Collaborates with the graphic designer, e.g. in planning advertising texts

Graphic designer

  • responsible for making event graphics
  • is responsible for Tapiiri’s visual communication
  • has a lot of cooperation with the communications manager and the social media manager

Facility and equipment manager

  • responsible for the facilities used by Tapiiri ry and the equipment owned by Tapiiri ry
  • keeps track of supplies
  • takes care of the storage of supplies
  • keep a record of borrowed supplies
  • ensures that the supplies remain in good condition
  • inform the board of deficiencies
  • to propose to the board about procurement of supplies
  • keeps the association’s documents, i.e. is responsible for the association’s archive

Event manager

  • is responsible for events organized by Tapiiri ry
  • is responsible for the organization and management of event committees
  • set up event pages on Facebook and create event descriptions
  • organize at least one excursion to an art destination
  • organize the Kevätbingo (spring bingo)
  • keep a record of the events proposed by the members and present them to the board

Exhibition manager

  • organizes an art exhibition of members’ work: reserves the exhibition space, plans the theme and timing of the exhibition, plans the opening event
  • works closely with the event manager

Membership manager

  • is responsible for the recruitment of new members of Tapiiri ry
  • maintain the membership register

Data protection manager

  • is responsible for the up-to-dateness of Tapiiri ry’s privacy statements, such as from the privacy statements of the member register and events
